    Medpharma Alliance International Limited (“MedPharma”, “we”, “our”, “us”) respects your privacy and is committed to protecting it through compliance with this policy. This policy describes the types of information we may collect from you, or that you may provide, when you use the MedPharma Android or iOS app or visit www.medpharma.care, and our practices for collecting, using, maintaining, protecting, and disclosing that information.

    We process personal data in accordance with Ghana’s Data Protection Act, 2012 (Act 843). Please read this policy carefully to understand our practices regarding your information and how we will treat it.

    1.Scope of This Policy

    This policy applies to information we collect on the MedPharma app and website, and in email, text, and other electronic messages between you and the Company in relation to the services provided through the app and website.

    It does not apply to information collected by us offline or through any other means, including on any other website operated by the Company or any third party (including our affiliates and subsidiaries), or through any application or content (including advertising) that may link to or be accessible from the app or website.

    2.Minors

    The MedPharma app and website are not intended for persons under 18 years of age. A person under 18 shall not provide any information on the app or website, register, make purchases, use any interactive features, or otherwise submit personal information about themselves — including name, address, telephone number, email address, medical records, or any user name.

    If it becomes necessary for a person under 18 to use the services, a parent or legal guardian should do so on their behalf. We do not knowingly collect personal information from children under 18. If we learn that we have collected such information without verified parental consent, we will delete it immediately.     3.Information We Collect

    We may collect certain information from you when you download, install, or use our app or website. This includes information you provide directly, information about the care you receive, and information collected automatically.

    2.1 Information you provide

    Information you give us by filling in forms — for example when registering, subscribing to a service, requesting further services, or reporting a problem. We do not require personal information unless you voluntarily provide it for a specific purpose, and we use it only for that purpose. This may include:

    • Name, email address, and phone number
    • Date of birth and gender
    • Delivery address and contact details
    • Payment and billing information
    • Insurance / NHIS information (where applicable)

    2.2 Medical and communication information

    To provide telemedicine, medication delivery, and diagnostic services, we collect health information you choose to share and data exchanged during your care. This is collected only when you voluntarily provide it for a specific purpose, and is not shared with third parties without your consent except as described in this policy. It may include:

    • Prescription details and medical history
    • Uploaded medical reports and diagnostic results
    • Consultation notes and treatment plans
    • Messages, calls, and documents exchanged during consultations

    2.3 Information collected automatically

    As you use the app or website, we may use automatic data-collection technologies to collect certain technical information about your equipment and usage. This helps us estimate audience size, remember your preferences, speed up your searches, and recognise you when you return. It is statistical in nature but may be associated with personal information we hold. It may include:

    • App usage data, visits, and diagnostic information
    • Crash reports and performance logs
    • Device information and app version
    • Usage patterns and preferences

    2.4 Cookies and tracking technologies

    Our website uses cookies (small files stored on your device), Flash cookies, and web beacons to collect and store information about your preferences and navigation. You may refuse browser cookies through your browser settings, but some parts of the website may then be unavailable.

    4.Third-Party Use of Cookies and Tracking Technologies

    Some content and advertisements are served by third parties, including advertisers, ad networks, content providers, and application providers. These third parties may use cookies, web beacons, or other tracking technologies to collect information about you, which they may associate with your personal information or use to provide interest-based (behavioural) advertising.

    We do not control these third parties' tracking technologies or how they may be used. Any questions about a third-party advertisement or content should be directed to the responsible provider.

    5.How We Use Your Information

    We use information that we collect about you, or that you provide to us, for the following purposes:

    • Service provision. To deliver telemedicine consultations and treatment, process prescriptions and medication delivery, coordinate diagnostic tests and results, and maintain your health records.
    • Communication. For appointment reminders, consultation updates, account and subscription notices (including expiration and renewal), and updates related to your health.
    • Personalisation. To tailor your app interface and services and to remember your preferences.
    • Analytics and improvement. Aggregated, anonymised data may be used for analytics, troubleshooting, and improving our services and user experience.

    6.Disclosure of Your Information

    MedPharma does not sell, rent, or trade your personal or health information to third parties for marketing purposes. We may disclose aggregated information that does not identify any individual without restriction. We may disclose personal information only in these limited circumstances:

    • To healthcare professionals, insurers, and couriers who support our services and are bound to keep the information confidential;
    • To pharmacy and delivery partners for prescription fulfilment and medication delivery;
    • With your consent, and to comply with the Data Protection Act, 2012 (Act 843);
    • To comply with a court order, law, or a government or regulatory request;
    • To enforce our Terms of Service and other agreements, including for billing and collection;
    • To protect the rights, property, or safety of the Company, our customers, or others, including for fraud protection and credit-risk reduction;
    • To a buyer or successor entity in the event of a merger, reorganisation, or sale of some or all of the Company's assets.

    7.Accessing and Correcting Your Information

    You can review and change your personal information by logging into your account on the app or website. You may also email info@medpharma.co to request access to, correction of, or deletion of any personal information you have provided.

    We cannot delete your personal information except by also deleting your user account, and we may decline a change we believe would violate a legal requirement or make the information incorrect. If you delete content you have posted, copies may remain in cached or archived pages.

    8.Protecting Your Information

    We have implemented measures designed to secure your personal information from accidental loss and from unauthorised access, use, alteration, and disclosure. Information is encrypted in transit and at rest and stored in a central database on secured servers, protected by strict access controls and authentication.

    The safety of your information also depends on you. Where you have chosen a password for access to the services, you are responsible for keeping it confidential and should not share it. Unfortunately, transmission of information over the internet is never completely secure; any transmission is at your own risk, and we cannot guarantee the security of information transmitted to our platforms.

    9.How Long We Keep Your Data

    The criteria used to determine the storage period for personal data is the respective statutory retention period. After that period, the data is routinely deleted once it is no longer necessary for the fulfilment of our services.

    We process and store your personal data only for the period necessary to achieve the purpose of storage. Essentially, we maintain your data until your account is deleted. You can view the data we collect at any time and may request its deletion through your account settings.

    10.Your Rights

    Under the Data Protection Act, 2012 (Act 843) you have the following rights over your personal data, which you can exercise at any time by contacting us:

    • The right to obtain confirmation of whether we process your data, and to request that data;
    • The right to be informed of the purposes of processing, the categories of data, the recipients, and the envisaged retention period;
    • The right to have incomplete personal data completed and inaccurate data corrected;
    • The right to request the erasure of personal data without undue delay;
    • The right to receive the personal data you provided in a structured, commonly used, machine-readable format;
    • The right to object at any time to processing, unless we have compelling legitimate grounds that override your interests;
    • The right to withdraw your consent to processing at any time.

    11.Account Deletion

    • By default, inactive accounts are deleted after 90 days of inactivity.
    • You have the right to request your account deletion at any time.
    • On deletion, personal information such as your name, location, insurance and contact details, and usage history will be deleted.
    • Some information shared while creating an order — such as prescription details — may be retained for legal, medical, or auditing purposes as required by healthcare regulations.

    12.Changes to This Privacy Policy

    It is our policy to post any changes we make to this privacy policy on this page. If we make material changes to how we treat your personal information, we will notify you by email to the primary address on your account and/or through an in-app notice. The date this policy was last revised is shown at the top of the page. You are responsible for keeping your email address up to date and for periodically reviewing this page.
